Marketing Budget Tools for Small Businesses: The Short Version
Budget tools for small businesses range from LinkedIn campaign pacing to Google Analytics import, plus the free sheets most owners actually run.
What to take away
- Google Sheets is the default pick for most businesses under ten staff. LinkedIn Campaign Manager paces spend inside one ad account but cannot see your rent, payroll or card limit.
- Google Analytics campaign-data import joins cost, click and impression files to revenue you already track. It is a reporting join, not a ledger.
- Most independent businesses run the whole budget on a spreadsheet, and that is a legitimate choice when the sheet reconciles to invoices.
- Whichever tool you pick, the approved ceiling, the invoice and the bank payment live outside it.
- Test exports, permissions and cancellation before you commit a full quarter to any platform.
Five budget tools: LinkedIn, Analytics, Sheets, Airtable, HubSpot
Five tools come up again and again for businesses under about fifty staff: LinkedIn Campaign Manager, Google Analytics campaign-data import, Google Sheets, Airtable and HubSpot Marketing Hub. Two are vendor platforms with documented budget controls. Three are general tools owners bend into the job.
None of them is a marketing budget tool in the accounting sense. Each handles one slice: pacing, joining, tracking, or planning. Owners also name Excel, Notion, Looker Studio, QuickBooks and Wave in the same searches.
LinkedIn Campaign Manager
Campaign Manager sets daily, lifetime, or combined daily-and-lifetime budgets on an eligible campaign. LinkedIn's own advertising cost documentation says the chargeable event depends on your optimization goal and bidding strategy, and that auction, audience, objective and relevance all move the final cost.
LinkedIn lists a minimum daily budget of $10 for most campaign objectives, in US dollars. Confirm the figure in the campaign setup screen for your currency and objective.
Pacing one LinkedIn campaign
- Set daily, lifetime, or combined budget
- Check chargeable event for your goal
- Watch delivery against the ceiling
- Adjust the bid strategy
- Test edits and pauses in finance records
That is a pacing tool. Set the ceiling for one campaign, watch delivery, adjust the bid strategy. It will not tell you whether the campaign earned its place against everything else you spent that month.
Test how edits, pauses, scheduled flights and automated bidding land in your finance records before you trust the number on the screen.
Google Analytics campaign-data import
Google's campaign-data import documentation says eligible non-Google cost, click and impression data can be joined to the revenue and events Analytics already measures. The docs also spell out the mapping step, source connections, and what happens after import.
Import accuracy checks
- Identifiers
- Dates
- Currency
- Event setup
- Consent settings
- Attribution choice
The joined report is only as good as its identifiers, dates, currency, event setup, consent settings and attribution choice. Get one of those wrong and the cost-per-acquisition figure is fiction.
Keep the raw platform export, the import file, the mapping and the upload history. When a number looks wrong, you will need all four.
Analytics limits how many data imports a property can hold. The cap depends on your property and the import type, so read the current number in the help page before you plan a monthly feed.
The three general tools
Google Sheets is where most owners start, and often where they stay. Free with a Google account, shareable, and easy to reconcile line by line against invoices. Its weakness is permissions and version history on a shared budget file.
Airtable suits a business tracking several campaigns with different owners. The free plan caps each base at 1,000 records and 1 GB of attachments. Paid tiers price per seat.
The vendor lists its Team tier at $20 per seat per month billed annually, or $24 month to month, on its US pricing page. Confirm the number for your region before you commit.
HubSpot Marketing Hub bundles email, landing pages and campaign reporting. The free tier includes limited reporting and email sends. Starter tiers are listed from $20 per month and Professional tiers from $800 per month, both scaling by contact count. Check the page for your current contact tier.
Worked example: one monthly close
Say you approve a $3,000 marketing ceiling for the month and your card limit is $5,000. Track six columns: Date, Vendor, Campaign, Platform, Invoice amount, Paid. Pull the LinkedIn spend for the month. Pull the Analytics import. Add the invoices you have not yet paid. Set a tolerance of $50 or 2 percent, whichever is larger.
If the three totals differ by more than that, find out why before you sign off. That gap is the whole point of the exercise.
Public-sector sourcing guidance asks questions that also apply when you pick a budget tool. The GOV.UK technology selection guidance recommends weighing adaptability, data control, security review and total ownership cost. Those questions apply to a free spreadsheet as much as to a paid platform.
The GOV.UK open standards guidance ties open standards to interoperability and reduced supplier dependence. Test whether your budget data and definitions can move between tools. The checks in a small business marketing budget checklist cover portability alongside approval records.
If you are still deciding what belongs in the budget at all, start with the common questions small business owners ask about marketing budgets before you compare software.
Common questions
Which of these is best for a business under ten staff?
Google Sheets, almost always. The other four add value only when you have multiple campaigns, multiple owners, or a reporting join you actually use. A sheet that reconciles to invoices beats a platform that does not.
Do I need both LinkedIn and Analytics?
Only if you run LinkedIn campaigns. Campaign Manager paces the spend; the Analytics import shows what that spend produced alongside your other channels. If LinkedIn is not a channel for you, skip both.
Can I drop the spreadsheet once I pay for a platform?
No. Platforms change pricing, features and access terms. Export your data before you cancel.
How do I check pricing before committing?
Vendor pricing pages change without notice. Check the current page for your region and seat count on the day you decide, and confirm what happens to your data if you cancel.
